1. Who we are

Twilight Dawn Gaming operates Crawler Companion and is the data controller for the personal data described here. That means we decide how and why your personal data is used, and we are responsible for looking after it.

2. What we collect and why

  • Account data — email address, display name and login credentials, so we can create and secure your account. Legal basis: performance of our contract with you.
  • Game content — characters, portraits you generate or upload, campaign notes, maps, inventory, chat and dice history, so we can provide the Service and sync your table in real time. Legal basis: contract.
  • Membership status — plan, renewal dates and whether payments succeeded, so we know what access to give you. Legal basis: contract.
  • Support messages — what you send us when you ask for help, so we can answer. Legal basis: contract and legitimate interests.
  • Technical and usage data — IP address, device and browser information, error reports and basic usage events, for security, fraud prevention, debugging and improving the product. Legal basis: legitimate interests.
  • Marketing — if you opt in, we may email you about updates. Legal basis: consent, withdrawable at any time.

Card details are never collected or stored by us; payment data is handled by our Merchant of Record.

3. AI features

Text and image prompts you submit for announcer lines and character portraits are sent to our AI processing provider to generate the result. Do not include personal information about other people in prompts.

4. Who we share data with

  • Service providers and subprocessors — hosting, database, authentication, AI generation, email delivery and error monitoring.
  • Paddle.com, our Merchant of Record, for selling the product, subscription management, payments, tax compliance and invoicing.
  • Professional advisers such as legal and accounting, where needed.
  • Authorities or regulators where we are required to by law.

Other players in a game you join can see the game content you share with the table (character name, class, level, portrait, position). Your health values are visible only to you and your Game Master.

5. International transfers

Some of our providers are outside the UK/EEA. Where data is transferred, we rely on adequacy decisions or Standard Contractual Clauses together with appropriate additional safeguards.

6. Retention

We keep account and game data while your account is active and for up to 12 months after you close it, so you can come back. Billing and tax records are kept for as long as the law requires. After that, data is deleted or anonymised.

7. Your rights

Under UK and EU data protection law you can ask for access to your data, rectification, erasure, restriction, portability, and you can object to processing based on legitimate interests. You can withdraw consent for marketing at any time. We respond within one month. You can also complain to your supervisory authority — in the UK, the Information Commissioner's Office.

8. Security

We use appropriate technical and organisational measures, including encryption in transit, row-level access controls in the database, private storage with time-limited links for portraits, and least-privilege access for administrators.

9. Cookies and local storage

We use essential cookies and browser storage to keep you signed in and to remember settings such as your sound preference. These are required for the Service to work. We do not use advertising cookies. You can clear cookies and storage in your browser settings, but you will be signed out.

10. Contact

To exercise your rights or ask a privacy question, contact Twilight Dawn Gaming using the support details on your receipt or invoice, or through paddle.net for billing matters.
